  • Registration/Administrative Duties:
  • Compliance; ensuring one medical record per patient. Duplicate records are a patient safety issue and considered a significant registration error.
  • Enforce that a complete interview is conducted with the patient or responsible party, to ensure the most current and accurate data is on file. A registration officer should utilize solid interview techniques by ‘questioning’ the patient and avoiding ‘read back’ validation practices.
  • Ensure the collection of demographic and insurance information along with other required registration fields which must be validated and updated each time a patient is registered.
  • Recorded patient insurance and payment information accurately, including government programs, client-based plans, commercial providers, self-pay, discount programs, charity, and auto insurance.
  • Ensure verification of eligibility at point of registration.
  • Responded promptly to patient and family inquiries, facilitating connections to Financial Counselors for eligibility validation of financial assistance programs, enhancing overall patient experience.
  • Schedule appointments and call patients as appointment reminder. Provide information to the patient/guardian as to what to bring on the appointment day including co-pay collection.
  • Ensured compliance in collecting signatures on required documents, including Patient Responsibility Form, Health Notification Form, Payment Plan, and Debit/Credit card authorization.
  • Attend regular staff training on areas of – customer service, registration system and business procedures, policy and procedures, and self-development. Understanding and knowing how to discuss financial information and obligations and know how and when to refer to others for help.
  • To work with Registration Supervisors to make sure the upcoming month schedule for the registration team has been completed and communicated to all staff and their cost center units.
  • Ensure strong internal control is in place to safeguard the authority’s assets including daily deposits, recon of deposits, daily reversals of charges and refunds, and cashier’s floats.
  • Ensure regular completion of zero balance report, pre-admits, unverified insurance and infraction reports on a monthly basis.
  • Ensure spot checks are being done and any irregularities should have an incident report.
  • Work closely with PFS Manager and Revenue Accountant to discuss matters relevant to the revenue cycle.
  • Assisted with various departmental functions as needed.
